Tune your receptionist

Make your receptionist sound like your business, decide what it's allowed to do on a call, and tell it when to put people through to you.

Part 1

Changes go live when you publish

Everything on the Receptionist page is saved as you go, as a draft. Callers keep hearing the version they hear now until you press Publish; Discard throws your changes away.

Part 2

Voice and greeting

  1. 1

    Pick a voice

Play the samples and choose the one that suits your business.

  2. 2

    Name your receptionist

Callers hear this name if they ask.

  3. 3

    Write your greeting

The first thing every caller hears. Keep it to one or two short sentences and end with a question, like “How can I help you today?”.

Capabilities

Under “Bookings & messages” on the Receptionist page, switch each ability on or off.

  • Bookings — book, move and cancel appointments during a call.
  • Texts — text customers, for example booking confirmations and reminders.
  • Emails — send you booking details and call summaries.
  • Putting calls through — under “Call handling”, choose the phone to ring and which callers come through: only urgent calls, or urgent calls and anyone who asks for you. Emergencies and same-day needs always count as urgent. Nimble won't accept the number that forwards to it, so calls can't loop.

Part 4

Set your booking types and times

Booking types are the kinds of appointment you take — for example Job, Quote and Site inspection. Nimble suggests some from your type of business. They're on the Bookings page, under Booking times.

  1. 1

    Tick the types you offer

Untick any you don't. Rename one by editing its name.

  2. 2

    Add your own

Type a name under “Add a booking type” and press Add.

  3. 3

Set how long each one takes and when it can be booked

  4. 4

    Press Save booking types

Your receptionist uses them as soon as they save.

Your receptionist works out the type from what the caller says, and only asks when it's genuinely unclear.

Part 5

What happens after a call

Under “Automations” on the Receptionist page, choose what Nimble does once a call ends, such as texting the caller or emailing you a summary.

Part 6

Opening hours

Set your opening hours under “Call handling” on the Receptionist page. Your receptionist uses them to answer “are you open?” and, if you chose it under Who answers, to decide when it answers calls.
